TRANSACTION COORDINATOR SERVICES

  • Coordinate opening of the file with appointed title company and send them the accepted contract. 
  • Introduction email will be sent providing a timeline of deadlines to the buyer or seller. 
  • Introduction email will be sent to the lender and coop- agent.  
  • Copy of fully executed contract will be sent to the lender. 
  • Ensure everything is fully executed with dates, initials, signatures and broker information is completed. Submit all required contract documents to broker/office for compliance. 
  • Send/request any missing forms to client/ coop- agent and gather signatures if needed.  
  • Ensure the lender, title company, and coop-agent receive any amendments or changes to the contract. 
  • Send invite for all deadlines/events to agent via Google calendar.
  • Verify EM deposit was deposited by client.
  • Assist client with scheduling all inspections.
  • Confirm inspection has been set up in accordance with offer deadline.   
  • Verify inspection date and time with client and coop-agent.  
  • Ensure client has made loan application with lender. 
  • Keep in contact with the title company and lender throughout the transaction. 
  • Provide agent email updates on the status of the transaction to keep you informed. 
  • Update deadlines due to any changes in the contract.  
  • Order Home Warranty per contract if needed.   
  • Monitor appraisal timeline and completion with the lender.  
  • Coordinate and monitor buyers loan status with the lender. 
  • Submit agent commission into office software (i.e. Command, etc.) 
  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable)  
  • Maintain constant contact with all parties involved for status updates or any timeline changes.  
  • Verify title company has all required buyer/seller information. 
  • Coordinate and confirm final walk-through.  
  • Schedule signing appointment for client and agent/coop- agent.  
  • Review final closing disclosure and approve with the title company.
  • Send client a copy of final closing disclosure for their review. 
  • Remind buyer of wiring deadline to the title company. 
  • Send utility information to client to arrange new service. 
  • Send any required closing documents or missing forms to agent to take to closing for signatures.
  • Upload all closing documents and submit file for compliance/commission disbursement.
